Definitions

Practitioner: Any individual or business booking or using rooms or facilities at Clinic Suites.

Session: The booked time period granting temporary licence to use a treatment room or facility.

Premises: The Clinic Suites building, rooms, shared areas, and associated facilities.

1.0 Introduction

These Terms & Conditions govern the use of the Clinic Suites premises, website, and booking system.
By creating an account or booking a room at Clinic Suites, practitioners agree to these terms.


Clinic Suites provides treatment rooms and shared facilities for hire by independent practitioners.
Clinic Suites does not provide medical, healthcare, or therapeutic services.

2.0 Booking and Session Licences

Bookings grant practitioners a temporary licence to occupy a specified room for the duration of a booked session.

Sessions are fixed time slots (for example morning, afternoon, or evening). Practitioners must plan their appointments so that sessions start and finish within the booked time period.

Even where practitioners make multiple bookings, recurring bookings, or discounted booking arrangements, each session remains an individual licence to use the room for that specific period.

3.0 Access to the Premises

Access to practitioner areas of the premises are controlled by keypad entry systems. Access codes are provided for practitioners to attend their booked sessions and should not be shared with patients or members of the public.

Practitioners are responsible for collecting their own patients from the waiting room area.

Clinic Suites may change access codes periodically for operational or security reasons. Practitioners should ensure they have the correct code before attending their session.

The premises may operate on a staffed or unstaffed basis.

4.0 Waiting Room and Shared Areas

The waiting room and reception areas are shared spaces intended for patient waiting and general access to the premises. These areas may also be accessible to members of the public.

Practitioners are responsible for the conduct and supervision of their patients, visitors, assistants, or staff while they are on the premises.

Clinical consultations or chargeable services must take place within a booked treatment room or authorised space.

Group sessions or training events should be arranged in advance and may require use of The Fylde Suite.

5.0 Practitioner Independence

Practitioners operating from Clinic Suites are independent professionals.

Clinic Suites provides premises and facilities only and does not supervise, direct, or control the professional activities of practitioners.

Practitioners are solely responsible for the services they provide, including patient care, professional conduct, regulatory compliance, and clinical outcomes.

Patients receiving services at the premises do so under the care of the individual practitioner providing those services. Clinic Suites does not provide treatment, medical advice, or clinical services to patients.

Nothing in these Terms creates an employment, partnership, or agency relationship between Clinic Suites and any practitioner.

6.0 Insurance and Professional Compliance

Practitioners must ensure they hold all qualifications, licences, registrations, and insurance required to lawfully provide their services.

This includes professional indemnity insurance, public liability insurance, and any other cover required for their professional activities.

Clinic Suites reserves the right to request confirmation of insurance or regulatory compliance where appropriate.

7.0 Equipment and Room Use

Treatment rooms are provided in a standard layout with equipment positioned for general clinical use.

Practitioners should not move or alter the positioning of equipment or furniture unless expressly permitted.

Practitioners must check that equipment is safe and suitable before use, including ensuring that adjustable elements such as couch castors are secured.

Any faults or issues should be reported to Clinic Suites as soon as reasonably possible.

8.0 Cleaning and Hygiene

Clinic Suites provides general cleaning of rooms and shared areas.

Practitioners are responsible for cleaning and disinfecting any surfaces or equipment used during their session.

Rooms must be left tidy and in a suitable condition for the next practitioner.

9.0 Waste Disposal

General waste bins are provided for ordinary non‑clinical waste.

Practitioners are responsible for the safe handling and disposal of any clinical, hazardous, or specialist waste generated through their activities.

Clinical waste, sharps, and confidential waste must not be placed in general waste bins unless specific disposal services are provided by Clinic Suites.

Clinic Suites may introduce additional waste disposal services in the future which may be subject to separate terms.

10.0 Practitioner Property

Practitioners are responsible for any equipment, materials, or personal belongings they bring onto the premises.

Such items are brought and used entirely at the practitioner’s own risk.

Clinic Suites accepts no responsibility for loss, theft, or damage to practitioner equipment or personal property.

Items should not be left unattended and must not be stored in treatment rooms between sessions.

11.0 Patient Conduct

Practitioners are responsible for the behaviour of their patients and visitors.

Clinic Suites reserves the right to require any person behaving in a disruptive, unsafe, or inappropriate manner to leave the premises.

Repeated issues relating to patient conduct may result in suspension or termination of a practitioner’s ability to use the facilities.

12.0 Noise and Professional Conduct

Practitioners must conduct their activities in a professional manner that respects other users of the premises.

Treatment rooms are intended to provide a quiet clinical environment and music or amplified sound should not be used in these rooms.

The Fylde Suite may be used for meetings, therapy sessions, training events, or other activities where discussion or audio may occur.

13.0 Marketing and Representation

Practitioners may use their own materials or branding within their booked treatment room during their session.

Promotional materials must not be placed in waiting rooms or shared areas unless authorised by Clinic Suites.

Practitioners must not represent themselves as employees, partners, or agents of Clinic Suites.

14.0 Emergency Procedures

Practitioners should familiarise themselves with emergency procedures provided within the premises.

In the event of a fire alarm or other emergency, practitioners should assist their patients in leaving the building safely and raise the alarm where appropriate.

Where emergency services are required, practitioners should contact them immediately and notify Clinic Suites as soon as reasonably possible.

15.0 CCTV

CCTV operates within and around the premises for safety and security purposes.

Cameras do not operate inside treatment rooms, The Fylde Suite, or bathroom facilities.

Cameras may operate in entrances, hallways, external areas, and shared spaces of the premises

16.0 Cancellations and Rescheduling

Practitioners may cancel bookings up to 14 days before the scheduled session without charge.

Bookings may be rescheduled up to 3 days before the session using the booking portal.

Cancellations made after the permitted window may be non‑refundable

If Clinic Suites must cancel a booking, practitioners may request a refund or reschedule the session.

17.0 Suspension or Termination

Clinic Suites reserves the right to suspend or terminate practitioner accounts where:

  • Terms and Conditions are repeatedly breached
  • Practitioners fail to vacate rooms on time
  • Patient behaviour creates disruption or risk
  • Damage or misuse of the premises occurs
  • Illegal or unsafe conduct is suspected

18.0 Website and System Availability

Clinic Suites does not guarantee uninterrupted availability of the website or booking system.

Temporary outages or technical issues may occur from time to time.

19.0 Force Majeure

Clinic Suites shall not be liable for failure or delay in providing access to the premises where this results from circumstances outside reasonable control, including but not limited to, power outages, utilities failure, building damage, flood, fire, government restrictions, or other unforeseen events.

Where possible, affected bookings may be rescheduled or refunded.

20.0 Limitation of Liability

Clinic Suites provides premises and facilities only.

Clinic Suites shall not be liable for losses arising from practitioner services, patient interactions, or practitioner business activities.

Clinic Suites shall not be responsible for indirect or consequential losses including loss of business or income.

21.0 Data Protection Responsibility

Practitioners remain responsible for their own compliance with applicable data protection laws when handling patient information.

Clinic Suites does not collect or store patient medical records.

22.0 Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes arising in connection with these terms shall be subject to the jurisdiction of the courts of England and Wales.

23.0 Entire Agreement

These Terms constitute the entire agreement between Clinic Suites and practitioners regarding room bookings and use of the premises.

24.0 Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

25.0 Changes to Terms

Clinic Suites may update these Terms & Conditions from time to time. The latest version will be published on the website.
