Definitions

Practitioner: Any individual or business booking or using rooms or facilities at Clinic Suites.

Session: The booked time period granting temporary licence to use a treatment room or facility.

Premises: The Clinic Suites building, rooms, shared areas, and associated facilities.

1.0 Introduction

These Terms & Conditions govern the use of the Clinic Suites premises, website, and booking system.

Clinic Suites provides treatment rooms and shared facilities for hire by independent practitioners.

Clinic Suites does not provide medical services, clinical supervision, patient management, or reception services.

By making a booking, practitioners agree to comply with these Terms & Conditions.

2.0 Booking and Session Licences

Bookings grant practitioners a temporary licence to occupy a specified room for the duration of a booked session.

Sessions operate within fixed time periods and practitioners must vacate rooms promptly at the end of their booking.

Bookings do not create tenancy rights, exclusive possession, or any permanent entitlement to any part of the premises.

3.0 Access to the Premises

Access codes may be issued to practitioners attending booked sessions.

Access codes must not be shared with patients, visitors, or members of the public.

Patients should be collected from the waiting room and accompanied into practitioner areas.

Clinic Suites may change access arrangements or codes periodically for operational or security reasons.

The premises may operate on a staffed or unstaffed basis.

3.5 Room Allocation

Clinic Suites reserves the right to reassign practitioners to an alternative treatment room where reasonably necessary for operational, maintenance, safety, or scheduling reasons.

Clinic Suites will make reasonable efforts to provide a suitable alternative room where possible.

Room bookings grant temporary permission to use facilities during the booked session only and do not create exclusive possession, tenancy rights, or permanent entitlement to any specific room.

Where Clinic Suites cannot reasonably provide a suitable alternative space, a refund or credit may be offered at Clinic Suites’ discretion.

4.0 Waiting Room and Shared Areas

The waiting room and shared facilities are communal spaces intended for use by practitioners and patients attending appointments.

Shared areas must be used respectfully and must not obstruct or interfere with other users of the premises.

Consultations or treatments must not take place within shared areas.

5.0 Practitioner Independence

Practitioners operating from Clinic Suites are independent professionals.

Clinic Suites does not supervise, manage, or control the professional services provided by practitioners.

Practitioners remain solely responsible for their qualifications, insurance, registrations, patient management, regulatory compliance, and clinical conduct.

Nothing in these Terms creates an employment, partnership, or agency relationship between Clinic Suites and any practitioner.

6.0 Insurance and Professional Compliance

Practitioners must maintain appropriate professional insurance and any registrations or licences required for the services they provide.

Clinic Suites may request evidence of insurance or regulatory compliance where appropriate.

7.0 Equipment and Room Use

Treatment rooms and equipment must be used respectfully and only for lawful professional activities.

Practitioners must not alter room layouts or move major equipment without permission.

Practitioners remain solely responsible for ensuring the premises and facilities are suitable for the procedures and services they provide.

Any faults or issues should be reported to Clinic Suites as soon as reasonably possible.

8.0 Cleaning and Hygiene

Clinic Suites provides general cleaning of rooms and shared areas.

Practitioners are responsible for maintaining appropriate hygiene and infection control standards.

Rooms must be cleaned and left in a suitable condition at the end of each session.

9.0 Waste Disposal

General waste facilities are provided for ordinary non-clinical waste.

Clinical waste, sharps, medications, hazardous materials, or specialist waste must not be placed in general waste bins.

Practitioners remain responsible for arranging appropriate disposal of clinical or specialist waste generated through their services.

10.0 Practitioner Property

Practitioners must remove all equipment, materials, stock, and personal belongings from the premises at the end of their booked session unless otherwise agreed in writing.

Any items left on the premises are left entirely at the owner’s risk.

Clinic Suites accepts no responsibility for loss, theft, damage, deterioration, contamination, or disposal of unattended items.

11.0 Patient Conduct

Practitioners remain responsible for the conduct of their patients, visitors, assistants, or trainees.

Activities must not disrupt other practitioners or interfere with the safe operation of the premises.

11.1 Animals

Animals are not permitted within Clinic Suites premises, treatment rooms, or shared areas, except for legally recognised assistance animals accompanying a patient or practitioner.

12.0 Noise and Professional Conduct

Practitioners must maintain a professional and respectful environment within the premises.

Quiet background music may be used provided it does not disturb other users.

Strong odours, vapours, or products likely to disturb other users of the premises must not be used.

13.0 Marketing and Representation

Practitioners operate independently and must not represent themselves as employees, agents, or representatives of Clinic Suites

Practitioners may state they are practising from Clinic Suites but must not imply employment or partnership.

Clinic Suites branding or logos must not be used without permission.

14.0 Emergency Procedures

Practitioners must familiarise themselves with emergency exits and safety procedures.

In the event of a fire alarm or other emergency, practitioners should assist their patients in leaving the building safely and raise the alarm where appropriate.

Any safety concerns, faults, or incidents should be reported promptly.

15.0 CCTV

CCTV may operate within shared and external areas of the premises for safety and security purposes.

Cameras are not installed within treatment rooms.

16.0 Cancellations and Rescheduling

Practitioners may cancel bookings up to 14 days before the scheduled session without charge.

Bookings may be rescheduled up to 3 days before the session using the booking portal.

Cancellations made after the permitted window may be non‑refundable

If Clinic Suites must cancel a booking, practitioners may request a refund or reschedule the session.

17.0 Suspension or Termination

Clinic Suites reserves the right to suspend or remove practitioner booking privileges where behaviour, activities, equipment, or circumstances are reasonably believed to present a safety, legal, regulatory, reputational, or operational risk.

Repeated breaches of these Terms & Conditions may also result in suspension or termination of booking privileges.

18.0 Website and System Availability

Clinic Suites does not guarantee uninterrupted website or booking system availability.

Temporary outages or technical interruptions may occur from time to time.

19.0 Force Majeure

Clinic Suites shall not be liable for delays, interruptions, or inability to provide services resulting from events outside reasonable control including utility failures, severe weather, government restrictions, emergencies, or similar events.

20.0 Limitation of Liability

Clinic Suites provides premises and facilities only.

Clinic Suites shall not be liable for losses arising from practitioner services, patient interactions, practitioner business activities, or unattended property.

21.0 Data Protection Responsibility

Practitioners remain responsible for the management and protection of patient records and confidential information.

Clinic Suites does not store or process practitioner medical records unless otherwise stated.

22.0 Governing Law

These Terms & Conditions are governed by the laws of England and Wales

Any disputes shall be subject to the jurisdiction of the courts of England and Wales.

23.0 Entire Agreement

These Terms & Conditions form the entire agreement between Clinic Suites and practitioners regarding room bookings and use of the premises.

24.0 Severability

If any provision of these Terms & Conditions is found invalid or unenforceable, the remaining provisions shall remain in full force and effect.

25.0 Changes to Terms

Clinic Suites may amend these Terms & Conditions from time to time.

The latest version will be published on the website and continued use of the premises constitutes acceptance of updated terms.
